Executive Assistant – Brandon

Position Summary

The Executive Assistant provides high-level administrative and governance support to the Executive Director and acts as the primary liaison to the WWCFS Board of Directors and its committees. This role ensures effective coordination of meetings, documentation, communication, and organizational processes.

Duties and Responsibilities but not limited to:

  • Coordinate management, board, and committee meetings, including logistics, agendas, and meeting materials.
  • Attend meetings, record accurate minutes, and maintain all governance-related documents.
  • Communicate decisions and follow-up actions to relevant stakeholders.
  • Support the planning of Annual General Meetings.
  • Track outstanding agenda items and ensure timely follow-up.
  • Assist the board with governance policy development and best-practice recommendations.
  • Coordinate onboarding and ongoing education for board members.
  • Manage confidential correspondence and documentation for the Executive Director and the Board.
  • Manage the Executive Director’s schedule, calendar, travel arrangements, and daily priorities.
  • Draft and prepare professional correspondence, reports, and briefing materials.
  • Maintain organized filing systems (electronic and hardcopy).
  • Track projects for the Executive Director, Board, and committees.
  • Coordinate meeting rooms, travel, accommodations, and meals.
  • Ensure timely submission and processing of expenses for the Executive Director and Board.
  • Respond to inquiries and requests with professionalism and discretion.
  • Assist with internal agency events and support the Director of Services as required.
  • Utilize advanced computer skills and strong knowledge of Microsoft Office.
  • Maintain consistent attendance and adhere to scheduled work hours.
  • Demonstrate professionalism, tact, confidentiality, and strong interpersonal communication.
  • Work independently, prioritize effectively, and adapt to changing demands.
  • Foster positive working relationships with staff, Board members, and committees.
  • Represent the agency in a professional and respectful manner at all times.
  • Perform other related duties as assigned.
  • Refer all media inquiries to the Executive Director.

Qualifications

  • Grade 12 or equivalent and a two-year Office Administration diploma from a recognized post-secondary institution.
  • Minimum three years of experience providing administrative support to management and/or a Board of Directors.
  • Proficiency with Microsoft Office applications.
  • Excellent employment record and professional references.
  • Valid Manitoba Driver’s Licence, reliable vehicle, and willingness to travel.
  • Ability to pass a Criminal Record Check, Vulnerable Sector Search, and Child Abuse Registry Check.
  • Knowledge and respect for First Nations culture and traditional teachings.
  • Ability to speak or understand Ojibway is an asset.
